What is a Nebenkostenabrechnung?

It is the annual service-charge or operating-cost statement for a rental property. Depending on your contract and building, it can include costs such as heating, water, waste, building cleaning, insurance or other permitted operating costs.

Start with five numbers

  1. The Abrechnungszeitraum (billing period).
  2. The total building or allocated costs.
  3. Your share of those costs.
  4. The advance payments (Vorauszahlungen) you already made.
  5. The final balance: Nachzahlung (amount still due) or Guthaben (credit).

Then check how your share was calculated

Look for the distribution key (Verteilerschlüssel), for example living area, number of people or measured consumption. Compare the address, apartment size and period with your tenancy records.

Useful terms:
Nachzahlung = additional payment due
Guthaben = credit/refund
Vorauszahlung = advance payment
Abrechnungszeitraum = billing period
Verteilerschlüssel = allocation/distribution key

If something looks wrong

Do not ignore the statement, but do not assume every line is correct either. Keep the original, compare it with the previous year and your tenancy agreement, and seek advice from a tenants’ association or Verbraucherzentrale if the amounts or allocation appear questionable.
