01About LifeAdmin
LifeAdmin is an independent digital service operated from Braunschweig, Germany. Its purpose is to make everyday paperwork easier to understand and manage by helping users identify relevant information, possible actions and deadlines.
02What LifeAdmin processes
LifeAdmin may process account and profile information such as your email address, name and language preference; documents and images you choose to upload; information extracted from those documents; translations, document questions, answers and generated reply drafts; reminders and completion status; subscription and billing identifiers; referral information; and limited technical, security, rate-limit and AI-usage records needed to operate and protect the service.
03Why data is processed
Account, document, translation, reminder and related service data is processed to provide features requested by the user and perform the service contract. Limited security, fraud-prevention, abuse-prevention and reliability data may be processed where necessary for the legitimate interest of protecting LifeAdmin and its users. Billing and accounting information may be processed where necessary to perform a subscription contract and comply with applicable legal obligations.
Where consent is required for an optional processing activity, LifeAdmin requests it separately. Sensitive-document processing must also be assessed against any additional legal requirements that apply to the relevant data and service context.
04AI processing and permission
Before LifeAdmin sends personal data to OpenAI for an AI feature, the app asks for explicit permission. If permission is granted, LifeAdmin may send OpenAI document content or extracted text, relevant images or pages, questions, translation choices, reply instructions and related document context needed to generate the requested result.
OpenAI is used only to provide the requested AI feature. LifeAdmin does not share this data with OpenAI for advertising. If permission is declined, no document content or prompt is sent to OpenAI and the AI feature does not run.
Secret API keys are not embedded in the mobile app. AI requests are sent through LifeAdmin's backend. The current AI integration requests that API responses are not stored for model-response storage purposes where the provider supports that setting.
05Service providers
LifeAdmin uses service providers to deliver its infrastructure and features. Current providers include Supabase for backend infrastructure, OpenAI for user-requested AI processing, Cloudflare for domain and security services, Stripe for eligible web billing, RevenueCat for native subscription entitlement management, and Apple or Google for native store purchases. Transactional email is handled through the configured mail provider.
06International transfers
LifeAdmin is designed for an EU-focused deployment, but some providers may process data outside the European Economic Area depending on the production configuration. Where a restricted transfer occurs, the relevant provider and LifeAdmin are expected to rely on an available legal transfer mechanism such as an adequacy decision or appropriate contractual safeguards.
07Retention schedules
Saved documents, retained originals, analyses, translations, document questions and reminders remain in your LifeAdmin account until you delete the original, delete the whole document, or delete your account, unless another retention period is required by law.
Technical records are cleaned on shorter schedules. Unreferenced storage objects and empty upload placeholders become eligible for cleanup after 24 hours. Document-creation rate-limit records are kept for 2 days, billing request and rate-limit records for 14 days, AI cost-alert and cleanup-history records for 90 days, and raw Stripe or RevenueCat webhook processing records for 365 days.
08Your controls & GDPR rights
Inside LifeAdmin you can download retained originals and translations, delete an original while keeping saved analysis, delete a whole document, export LifeAdmin account data and request permanent account deletion. You can also withdraw AI-processing permission and be asked again before a future AI request.
Depending on applicable law, you may also have rights of access, rectification, erasure, restriction, objection and portability, and the right to lodge a complaint with a competent data-protection authority. Where processing is based on consent, you may withdraw that consent without affecting earlier lawful processing.
09Security architecture
LifeAdmin uses private per-user document storage, row-level database authorization, server-side privileged operations, encrypted transport, authenticated server functions, rate limits and server-only secrets. No online service can promise absolute security.
10Payments & subscriptions
Web subscriptions may be processed by Stripe. Native subscriptions are processed by Apple App Store or Google Play, while RevenueCat is used to synchronize native subscription entitlement status. These providers process payment and transaction information under their own privacy terms. LifeAdmin generally receives billing identifiers, subscription status, product identifiers and related metadata rather than full payment-card details.
11Children
LifeAdmin is not designed as a service for children to independently manage sensitive administrative documents. Any public launch must respect age and parental-authorization rules that apply in the countries where the service is offered.
12Policy changes
If this policy changes materially, LifeAdmin may ask users to review and accept an updated version before continuing to use relevant features. The policy version and acceptance time may be recorded in the user's profile.
13Contact & complaints
You may use the privacy address for access, correction, export or deletion requests that cannot be completed directly in the app. Your right to contact a competent data-protection supervisory authority is not affected.
